Guests Bookings

Within these Booking Terms and Conditions “you” and “your” means the person signing the booking form as party leader but these Terms and Conditions apply to all other persons in the party (including anyone who is added or substituted at a later date). “We”, “us”, “our” “the Owner” of the Property “The Beach Hive, 156 Coast Road, Pevensey Bay, Sussex BN24 6NR”.

“Property” means The Beach Hive, Pevensey Bay in respect of which a booking is made.

These terms and conditions constitute a contract between you and the property owner of The Beach Hive.

Hours of Business

If you need to contact anyone, please contact the telephone numbers sent to you on your arrival and code details.

Booking Contract

1.1 You (the person signing the booking form as party leader) agree to enter into a contract on the following terms and conditions.

1.2 You must be aged 21 years or over when the booking is made.

1.3 The contract commences when we have issued the written booking confirmation by email or post. Please check all booking details carefully and inform us of any incorrect information immediately.

1.4 In order to secure your contract we need to receive the 30% deposit or payment in full in accordance with our payment schedule. If this is not received within 48 hours, we will re-offer those dates to other interested parties and your booking will not be secured.

1.5 We reserve the right to refuse any booking.

1.6 Group bookings of single sex parties are not allowed unless special arrangements are made with the owner.

1.7 No party, event or gathering may take place at the property which exceeds the maximum agreed occupancy numbers for the property without prior consent.

1.8 It is your responsibility to check that all details of your booking are correct.

2. Booking procedure and payment

a) Telephone bookings

2.1 Please contact us before making a booking to obtain confirmation of availability. Subject to availability and if you wish us to process the booking on your behalf this can be completed via telephone.

2.2 Our Terms and Conditions will be sent with confirmation of the booking, either by email or post and will form part of the booking contract in line with 1.4 above. Once any payment is taken for a booking either in the form of a deposit or full amount for the property you are agreeing with our Terms and Conditions which are attached to the booking confirmation.

2.3 By receiving confirmation of the booking following the receipt of payment you are agreeing to these Booking Terms and Conditions.

b) On-line bookings

2.4 Please check availability online and complete the online booking form. By ticking the box on the online booking form you are agreeing to these Booking Terms and Conditions.

2.5 All bookings made online remain provisional until payment has been received. Payment must be made within three working days of making the booking (unless alternative arrangements have been made).

2.6 Once we have received your on-line booking form and processed appropriate payments, we will issue a written confirmation. Please contact us immediately if any information which appears on the confirmation is incorrect or in complete.

3. Payments

3.1 Bookings made within eight weeks of arrival at the Property must be paid in full at the time of booking

3.2 For bookings made more than eight weeks before arrival a booking deposit of 30% must be made to secure the booking. For payment methods please see 3.5 below.

3.3 Once a booking is received and accepted by us, “you” the holidaymakers are liable to pay the full rent, security deposit and any additional charges, eight weeks before the start of each holiday. No reminders will be sent out beyond the booking confirmation which advises you of the balance due date. If we do not receive payment by this date then we will treat it as a cancellation.

3.4 Our quoted prices are for The Beach Hive and for accommodation only. All prices include (where applicable) cleaning on departure, bed linen, towels and beach towels (May – September), electricity, gas, water, fuel, and central heating. Please note that cot linen is not included.

3.5 Payment may be made BACS payment. Any charges raised against us by our Bank or your Bank for receiving overseas Bank Transfers, or any other payments, will be passed on to you and you will be liable to reimburse us in respect of such charges within seven days.

3.6 Please use your surname as reference if you are making a BACS payment.

4. Security Deposit

4.1 “We” the owner of The Beach Hive agree to rental to a third party on the understanding that you agree to keep the property and all furniture, fittings equipment and other contents in and around the property in the same state of repair as at the start of the rental period (reasonable wear and tear expected). A security deposit (£250.00) is taken to cover the cost of any damage or breakages to or at the Property, any additional cleaning and the cost of telephone calls (over and above the stipulated amount of calls included as part of the booking). Security deposits must be received prior to any keys being issued to you.
Payment can be made by Bank transfer but we must receive cleared funds 8 days prior to the commencement of your stay.

4.2 This Security Deposit payment will be refunded without interest after the booking is complete, less any deductions, should damage occur.

4.3 The security deposit will be refunded without interest within 14 days of the completion of your booking and once we have received a satisfactory property report from the housekeepers. We regret that any charges incurred in handling refunds from overseas guests will be passed on to you.

4.4 The housekeeper will inspect the property after your departure and report any damage to us. Upon initial notification the deposit will need to be held until further notice.

4.5 We will contact you as soon as possible, having been notified of a problem, either by telephone or email. You will be responsible for reimbursing any actual costs that are incurred in repair or replacement of damage to the property. This will include any extra cleaning should the property not be left in a reasonable state. The difference between the costs incurred and the full amount taken as deposit will be refunded to you once we are in receipt of all the relevant invoices and other necessary information. We reserve the right to withhold the processing of the refund should any information or costs be reasonably delayed. If the security deposit paid by you is not sufficient to cover these additional costs you are required to pay any balance within 14 days of demand. Copies of all invoices and associated paperwork will be forwarded to you by email or post.

4.6 Should a dispute arise regarding the loss or damage to property or any excess cleaning that may be required our policy is that the house-keepers word is final.

4.7 The booking contract is made between you and “us” the owner of The Beach Hive. If the contract is breached and legal action pursued the case will be between yourself and “us” the owner of The Beach Hive.

5. Property

5.1 You must arrive and depart within the check-in and check-out times stipulated for the Property, unless special arrangements have been agreed in advance.

5.2 You must keep the Property and all furniture, fittings, facilities, equipment and grounds in the same state of repair, condition as at the commencement of the holiday and in the same state of cleanliness and general order in which they were found. All your foodstuffs should be removed from the cupboards and fridge, and all appliances cleaned after use, including microwaves, oven, hob dishwasher and fridge. We reserve the right to make a deduction from your security deposit for any additional cleaning required over the usual number of hours committed to departure cleaning. To help us maintain the standard of the property and as a courtesy to the next guests, we ask that you please leave the property in a similar condition to that in which you found it. Please ensure that all your rubbish is in the bins provided, there is no washing up and the dishwasher is empty. If the house is left in a particularly dirty and untidy state and requires additional cleaning beyond that which is allocated, the extra cost will be taken from your security deposit.

5.3 The Beach Hive has a BBQ and we respectively request that this is thoroughly cleaned after each use and left clean at the end of your stay. If this is not carried out a cleaning charge of £30 will be deducted from your deposit.

5.4 Any valuables left at the Property are left at your own risk. It is essential and your responsibility to ensure that all doors, shutters and windows are closed and locked when leaving the Property. Keys must be returned to the key safe on departure. A fee of £30 will be deducted from your security deposit if we need to replace lost keys.

5.5 You must report to us promptly any breakages or damage and you will be responsible for payment of any breakages, loss or damage to the Property and/or its contents caused by you.

5.6 You are responsible for the correct and decent behaviour of your party. Should you or a member of your party abuse the Property or display dangerous, offensive or rude behaviour to us or any third parties (e.g. neighbours), the holiday makers right to occupy the Property may be forfeited without compensation and we reserve the right to require the holidaymakers, the person(s) concerned to leave the Property.

5.7 You must allow us (the owner) or their employee’s access to the property during reasonable hours, to carry out essential maintenance. We will endeavour to give reasonable notice to you if practicable and consider your privacy at all times. In an emergency, and if you are not available they may enter the property without prior agreement.

5.8 The Holidaymakers right to occupy the Property may be forfeited without compensation if:-
You exceed (and you must not) the maximum number of people stated in the Property details to reside at the Property nor sublet the Property nor allow anyone (overnight guests without the owner’s express permission) to stay at the Property who is not included on the booking form. Please inform us of any changes to your party.

5.9 No parties are to be organised at The Beach Hive.

5.10 Fireworks or related items must not be used in the house, outside in the garden, on the beach or near the property at any time during the night or day.

5.11 No candles to be used in the house due to the fire risk.

5.12 At no time is music to be played at an unacceptable level. It should be kept at a level at all times that does not distress or cause a disturbance to your neighbours or surrounding houses. All music outside must be turned off by 11pm and inside kept at a reasonable low level after 11pm.

5.13 You are responsible for each party member’s travel and health documentation (passports, driving licences, green card, motor insurance etc).

5.14 In the event of you breaching the responsibilities set out above, we reserve the right to ask you to vacate The Beach Hive and the contract will terminate immediately without refund or compensation save that you will remain liable for any costs or damages incurred by us as a result of your breaching these Booking Terms and Conditions and we reserve the right to deduct such costs and damages from the security deposit.

6. Our Liability

6.1 We do not accept liability for any loss, damage or injury howsoever caused to you (or anyone in your party) or to your vehicles or personal property save where personal injury or death is caused by our negligence. We strongly advise that you take out adequate travel insurance (including liability for accidental damage to the Property, cancellation cover and medical and emergency expenses) prior to the commencement of your holiday.

6.2 Children should be monitored at all times and you should verify the suitability of children’s equipment which is provided, as we cannot accept liability.

6.3 We are not responsible for noise or disturbance originating beyond the boundaries of the Property.

6.4 We do not accept any liability for compensation where performance or prompt performance of our contractual obligations is prevented or affected by reasons outside of our reasonable control, including adverse weather conditions, acts of God, explosion, tempest, fire or accident, war or threat of war, civil disturbances, restrictions and regulations of any kind on the part of the government or local authorities, strikes, lock-outs, or other industrial action or dispute.

6.5 We do not accept responsibility for the failure of public services such as water, gas, electricity, plumbing or sewerage systems or unforeseen breakdown of domestic and mechanical equipment such as heating or plumbing systems but will endeavour to arrange prompt repair where possible.

6.6 All bookings and other arrangements made by us on your behalf with third parties (e.g. catering services) are subject to the terms and conditions imposed by these third parties. We do not take any commission for notifying you of such companies nor do we act as an agent on their behalf. We cannot accept responsibility for these services.

6.7 As the owner we reserve the right to discount the property at any time without prior notice and will not be liable for reimbursement should your booking have been at the previously advertised higher price.

7. Access to the Property

7.1 We (the owner) have a right to access the Property at any reasonable time during your stay to carry out essential maintenance. We will endeavour to give reasonable notice to you if practicable. Gardeners and maintenance staff may also enter the grounds during your stay but will try as best possible not to interfere with your enjoyment of the Property.

8. Complaints

8.1 In the event that a complaint arises whilst you are on holiday you must contact us promptly to allow an on-site investigation to be made and if necessary take any remedial action required. If this happens over a weekend or bank holiday please contact the emergency telephone number in your house book and arrival details. We will endeavour to get to the property within 48 hours.

8.2 In no circumstances will compensation be made for complaints raised after the holiday period has ended, or when the holidaymaker has denied us, the housekeeper, maintenance department or the owner the opportunity of investigating the complaint and endeavouring to put matters right during the holiday period.

8.3 If the problem is not resolved to your reasonable satisfaction during your holiday, you should put your comments in writing within seven days of your return.

8.4 In the case of a dispute we will endeavour to resolve the issue.

9. Alterations or cancellation by you

9.1 If you request any changes to your booking we will endeavour to comply, but cannot guarantee to be able to do so.

9.2 If you need to cancel your holiday please notify us immediately by telephone and also in writing by registered post. The effective date of cancellation is the date we receive written notification. Our cancellation charges are detailed below.

  • Number of days before holiday Cancellation charge (as a percentage of the start date that notification is received total cost of the holiday)
  • More than 56 days from holiday start date (8 weeks): Deposit retained
  • Less than 56 days from holiday start date (8 weeks): 100% of total rent retained

9.3 If you do not pay the amount due in relation to your booking by the due date we will assume that you wish to cancel the booking, in which case the owner will be entitled to keep all of the deposit already paid. If we do not cancel straight away because you have promised to make payment, you will be liable for cancellation charges as per the above table, depending on the date the Owner treats your booking as cancelled.

9.4 Where bookings have been made through third parties (e.g. for catering or transport services) you will be liable to the cancellation charges set out in their terms and conditions.

10. Alterations or cancellation by us

10.1 In the interest of continual improvement we reserve the right to make minor modifications to furniture, amenities and facilities without any prior notice.

10.2 In the unlikely event that the Property is not available on the date booked (owing for instance to essential major repairs, flood or fire damage), a refund of all monies paid by you to us is available.

11. Pets

11.1 One dog is accepted at The Beach Hive and MUST be declared on the booking form and confirmed with the owner BEFORE ARRIVAL.

11.2 However young pets i.e. puppies MUST be declared at the time of booking and authorised by the Owner. If a puppy or young pet is taken to The Beach Hive without the consent of the Owner this could result in you being asked to leave without compensation.

11.3 We ask dog owners to observe the following rules (failure to do so may result in you being asked to leave without compensation):

  1. Dogs must be under strict control at all times while in the property
  2. Any fouling of garden, surrounding area etc. must be cleared up without delay.
  3. The dog owner must bring the dog’s bed or basket for sleeping in.
  4. Dogs MUST NOT be left alone in the property or elsewhere at any time.
  5. Dogs MUST NOT lie on beds or furnishings, and hair must be well cleared up before departing.
  6. Dog owners must ensure that their pets are free from parasites and fleas before they occupy the property. Failure to do so will incur subsequent charges.
  7. Any damage must be reported to the Owner immediately.

11.4 Pets may not be taken into the property unless they have been previously booked in by us. If pets are taken into the property without being booked in there will be a £50 fee per dog and may be asked to leave without compensation.

11.5 We cannot be held responsible for the safety at your pet whilst staying at the Property.

11.6 We reserve the right to levy an additional charge for any extra cleaning required (above the usual number of hours committed to departure cleaning) after your occupancy with your pet.

12. Web site accuracy

12.1 The contents of our web site have been prepared in good faith. We will inform you of any significant changes at the time of booking or as soon after as possible if you have already booked, but we shall not be liable for any minor or insignificant inaccuracy in descriptions and information.

12.2 We do not accept responsibility for any changes or closures to local amenities or attractions mentioned in our brochures and on the web site.

13. Privacy policy

13.1 We make it our highest priority to ensure that your personal information provided to us is secure and confidential. We will not sell your personal information to third parties. We will only disclose any personal information when required to do so by any lawful authority or as required by law.

13.2 Some personal information may need to be passed to third parties involved with your holiday, such as cleaners. We guarantee that any information will remain confidential.

13.3 We may use your data in the future to update you on our products. Please let us know if you would like your personal details to be removed from our database after your holiday.

14. Wifi and mobile phones

14.1 The Beach Hive advertises BT Sport but we cannot guarantee the number of channels available.

14.2 We cannot guarantee Wifi and mobile phone coverage at the property.

15. Smoking

15.1 In accordance with current legislation smoking is not permitted in The Beach Hive.

15.2 If you smoke outside of the property please remove all evidence before departure. Any extra cleaning or damage to fixtures and fittings caused by smoking will incur additional charges deducted from your security deposit.

16. Law

The contract between you and “us” the owner of The Beach Hive is governed by English Law. Any dispute you have with us (the owner) shall be dealt with in an English or Welsh Court of Law. Your statutory rights are not affected by anything contained within these booking conditions.

17. Holiday Insurance

We strongly advise that you take out adequate travel insurance (including liability for accidental damage to the Property, cancellation cover and medical and emergency expenses) prior to the commencement of your holiday.

18. Property left behind

We are very happy to return property left behind at the end of your stay. There is a £20.00 fee for this service, which will be deducted from your security deposit.
